As a Personal Secretary, you will provide high-level administrative support to an executive, manager, or individual, ensuring the smooth operation of their daily activities. This role involves managing schedules, handling correspondence, organizing meetings, and maintaining confidentiality at all times.
Roles & Responsibilities
- Manage and maintain the executive's schedule, appointments, and travel arrangements.
- Organize and coordinate meetings, conferences, and other events.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Prepare and edit documents, reports, memos, and presentations.
- Take accurate minutes of meetings and distribute them promptly.
- Maintain organized filing systems, both electronic and paper-based.
- Liaise with internal staff and external contacts as required.
- Perform personal errands and administrative tasks as requested.
- Monitor, screen, and respond to incoming communications.
- Ensure confidentiality and discretion in all tasks.
Required Skills & Qualifications
- Proven experience as a personal or executive secretary/assistant.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- High level of discretion and professionalism.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Ability to multitask and prioritize effectively.
