Marketing Operations & Production Assistant

Overview

Marketing Operations & Production Coordinator providing production, operational, and administrative support for the Marketing team. The role handles campaign execution, asset management, workflow organization, reporting, and quality assurance.

What you'll do

• Format and produce approved marketing assets (social graphics, email campaigns, presentations, flyers, and partner materials) using templates.
• Upload and schedule social posts on approved scheduling platforms and track scheduled assets.
• Prepare weekly advisor and division email campaigns by managing merge fields, versions, link verification, and reporting.
• Maintain the marketing asset library with standardized naming, folder organization, version control, archiving, and approval tracking.
• Create marketing adoption and campaign usage reports, dashboards, and activity summaries.
• Support advisor onboarding by preparing launch announcements, advisor bios, onboarding materials, and content calendars.
• Run quality assurance checks for spelling, formatting, hyperlinks, branding, disclaimers, dates, names, NMLS fields, and template accuracy.

What you'll need

• Strong English reading and writing comprehension.
• Exceptional attention to detail and organizational skills.
• Experience with Canva, PowerPoint, Google Drive or SharePoint.
• Understanding of workflow automation and marketing operations concepts (SEO/AEO/GEO).
• Ability to follow SOPs, manage repetitive work accurately, and communicate clearly.
• Comfort collaborating with U.S.-based teams.
