We are seeking a dedicated and detail-oriented Front Office Specialist to join our team. This role is essential in providing exceptional administrative support and ensuring the smooth operation of our front office. The ideal candidate will possess strong organizational skills, excellent phone etiquette, and a solid understanding of office procedures.
Roles & Responsibilities
- Greet and assist visitors in a professional manner, ensuring a welcoming atmosphere.
- Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
- Perform data entry tasks accurately and efficiently, ensuring all information is up to date in our systems.
- Utilize Microsoft Office and Google Workspace for various administrative tasks, including document preparation and correspondence.
- Maintain organized filing systems for both physical and digital documents.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and tracking payments.
- Support the team with clerical duties as needed, contributing to overall office efficiency.
- Coordinate appointments and manage schedules for staff members.
Required Skills & Qualifications
- Previous office experience is essential, with a background in administrative roles preferred.
- Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong typing skills with attention to detail for accurate data entry.
- Excellent organizational skills to manage multiple tasks effectively.
- Experience with QuickBooks is advantageous but not mandatory.
- A professional demeanor with outstanding phone etiquette is required.
- Ability to work collaboratively within a team environment while also being self-motivated.
