Job description

Overview

Lead day-to-day oversight and close-out of allocated Site Solutions projects for Illingworth Research Group, acting as primary point of contact for sponsor clients, sites and internal business units.

What you'll do

  • Act as primary point of contact for sponsor clients and sites, and for Illingworth business units and functions, once projects are handed over from the Business Development, Proposals or Strategy lead.
  • Liaise with the AD SS and Director SO&E for issue management and resolution on all Site Solutions projects.
  • Be responsible for day-to-day oversight and close-out of allocated Site Solutions projects, liaising with Resource Management, Finance and IT until completion, in accordance with clinical SOPs, GCP and applicable regulatory requirements.
  • Agree project-specific training requirements with the Sponsor and Sites, including roles and responsibilities for delivery, and manage delivery of Illingworth-owned training per relevant SOPs and policies.
  • Oversee and lead the development, review and finalization of project documentation, ensuring compliance with policies, SOPs, ICH-GCP and country regulatory requirements, in collaboration with the client and, where applicable, sites.
  • Develop a clear understanding of the study budget and scope, manage it to completion and reconciliation, prepare accurate financial and activity forecasts, report actual performance against forecast, prepare monthly invoices based on project activity, and identify scope changes and seek client approval for change orders.
  • Deliver Site Solutions projects through clear implementation plans and explicit performance metrics to agreed timelines and quality, provide input to corrective and preventive action for quality issues, and communicate compliance and performance to stakeholders including Illingworth business units, clients (Sponsor and CRO), sites and vendors.
  • Keep assigned projects' centrally stored trackers complete and up to date to support business continuity.
  • Support the development of collaborative site relationships and future horizon planning for Site Solutions and optimization strategies, and act as a resource for the wider Illingworth team on site relationship management.
  • Build differentiating, sustainable relationships with the site community across all Illingworth service lines, oversee performance and issue management of studies running within Site Solutions, and support the Site Contracts Manager in extending relationships across service lines.
  • Leverage experience, knowledge and best practices to drive global site optimization and engagement across all Illingworth service lines, aligned with broader Illingworth and Syneos goals.
  • Collaborate with the study team to define and lead site engagement and contracting processes, including site-specific needs assessments that guide the Site Solutions resource deployed in line with local due diligence and regulatory requirements.
  • Lead Site Solutions resource management with the Talent Acquisition and Resource Management teams, including requesting site-level resources, ensuring recruitment, allocation and onboarding align with the deployment strategy, communicating changes in resource requirements, and providing oversight of site solutions resources including onboarding and training.
  • Act as Company champion for site and sponsor clients internally and externally, and build internal awareness of site and sponsor stakeholder relationships and working practices.
  • Support the delivery of specific Site Solutions initiatives aligned with Illingworth and Syneos business needs.
  • Support the development and maintenance of information libraries and communication materials for RFI/RFP development and queries from Sponsors, Business Development and project teams.
  • Ensure project deliverables meet customer expectations, including contracted deliverables, accurate projections, reports and updates, with ongoing risk assessment and proactive mitigation, and complete and document scope changes.
  • Understand and translate protocol requirements to deliver the proposed site solution, in collaboration with the Sponsor and key cross-functional leads.
