Project Operations Analyst

Overview

The Project Operations Analyst supports Project Operations by providing project administration, data preparation and quality, and assistance with monthly reconciliations across project management and accounting systems, working closely with the Finance team and Project Managers.

What you'll do

• Create and update projects in both the CRM and PSA, and organize and store project SOWs and Purchase Orders.
• Update project schedules on active projects, ensuring accuracy with rates, start dates and allocations based on the approved pricing guide.
• Assist with the project lifecycle by creating project billing milestones, resource requests and revenue contracts for T&M and Fixed Fee projects.
• Track and follow up with Project Managers on all signed agreements, ensuring receipt and appropriate storage.
• Lead data monitoring and maintenance of the Project Pipeline, and perform daily data cleanup.
• Identify, research and resolve issues regarding project discrepancies or updates, and escalate as necessary.
• Send monthly missing hours reminders, monitor consultant timecard submissions for accuracy, and follow up as necessary.
• Prepare reports such as project financial, resource utilization and capacity reports.
• Support the monthly project revenue recognition process by validating project completion rates with Project Managers and reporting back to the Project Operations Lead.
• Provide operational and financial reporting support for Project Managers.
• Document financial processes, and create and maintain standard operating procedures.
• Troubleshoot Project Management systems and handle Q&A.

What you'll need

• Bachelor's degree.
• Strong knowledge of MS Office products, especially Excel.
• Organized, detail-oriented, with competent follow-through skills.
• Ability to prioritize and multi-task in a fast-paced environment while meeting deadlines.
• Ability to execute activities within complex processes.

Nice to have

• 3 years' experience in Financial Force or another PSA system.
