Overview
The Proposal Specialist manages and coordinates high-quality responses to RFPs, RFIs, RFQs, ITTs, and other customer proposal requests across multiple products and business lines. The role coordinates with internal stakeholders to develop accurate, compelling, customer-focused responses and contributes to improving proposal processes, content, tools, and knowledge-management practices.
What you'll do
- Manage the end-to-end proposal response process for RFPs, RFIs, RFQs, ITTs, and other customer requests.
- Coordinate proposal activities across Sales, Product, Technology, Legal, Information Security, and other subject matter experts.
- Establish and manage proposal timelines, milestones, responsibilities, and deliverables.
- Review customer requirements and develop response plans, identifying requirements, dependencies, gaps, and areas requiring stakeholder input.
- Gather, coordinate, and consolidate information from subject matter experts into proposal responses.
- Write, edit, and refine proposal content to ensure clarity, consistency, quality, and alignment with customer requirements.
- Ensure responses accurately reflect approved product capabilities, solutions, services, processes, and corporate standards.
- Translate complex technical information into clear, customer-friendly content.
- Partner with Sales to address customer requirements and support the broader commercial opportunity.
- Coordinate internal reviews, approvals, and sign-offs in accordance with governance and quality standards.
- Maintain awareness of internal processes, controls, policies, and standards to support accurate and compliant responses.
- Identify opportunities to improve proposal processes, response quality, content reuse, stakeholder engagement, and team efficiency.
- Maintain and enhance centralized proposal databases, content libraries, templates, and response repositories.
- Support standardized proposal content, processes, policies, templates, and best practices.
- Monitor trends in customer requirements and proposal activity to identify improvement opportunities.
- Contribute to knowledge-management and continuous-improvement initiatives that improve the accessibility, accuracy, consistency, scalability, efficiency, and quality of proposal responses.
What you'll need
- 5–7 years of relevant experience in proposal management, RFP/RFI/RFQ/ITT responses, bid management, or a related customer-response function.
- Experience managing complex, cross-functional proposals within a B2B, financial services, technology, SaaS, data, or information-services environment.
- Strong understanding of global financial markets and financial products.
- Good understanding of the sales and bid lifecycle, including opportunity qualification, proposal planning, content development, review, approvals, and submission.
- Experience managing multiple proposals simultaneously with competing priorities and tight deadlines.
- Ability to gather, synthesize, and validate information from subject matter experts and translate it into customer-facing responses.
- Strong proposal writing and editing skills, with the ability to tailor content to customer requirements and audiences.
- Ability to understand and communicate complex technology, SaaS, data, and product concepts clearly and accessibly.
- High proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, Outlook, and Project, as well as Adobe Acrobat and SharePoint.
- Excellent written and verbal communication skills.
