Overview
Manage day-to-day facility operations and administrative functions for a property, coordinating facilities services, client requirements, supplies, reporting, safety and continuous improvement initiatives.
What you'll do
- Prioritise the facilities' needs and oversee the property's day-to-day operations.
- Ensure that administrative functions and facility services are covered.
- Maintain housekeeping shift registers and housekeeping, pantry and office-boy shift rosters.
- Track client satisfaction and close helpdesk complaints.
- Monitor property supplies, stocks and materials and manage supply and service contracts as approved by clients.
- Meet daily with floor administrators and meet end users, line managers and directors for feedback on improvement areas.
- Conduct a daily round twice a day from corner to corner of the entire facility.
- Maintain site stock of housekeeping and pantry consumables.
- Follow up weekly movements and provide updates to the SPOC.
- Follow up on daily townhall and client-visit arrangements.
- Send daily, weekly and monthly reports on time, including daily manpower reports.
- Follow up with scrap vendors to remove scrap on time.
- Track and provide daily updates on biometrics and the Check tool.
- Coordinate with site Tech Executives on site-specific snags.
- Participate in emergency evacuation procedures, crisis management and business continuity plans.
- Monitor health and safety issues and participate in reviewing them.
- Achieve Key Performance Indicators and Service Level Agreement targets.
- Provide administrative support to the Facility Management team.
- Implement client-specific app-based tools.
- Carry out routine service audits.
- Create stock reports, meeting minutes and monthly management reports for clients.
- Coordinate with teams, troubleshoot problems using logic, and assign and monitor maintenance projects.
What you'll need
- Strong knowledge of facility, building or property operations.
- A Degree or Diploma in Hotel Management, or graduation with building management experience.
- At least 3 to 5 years' experience in facilities management.
- Good working knowledge of occupational safety.
- Aptitude in client-centric operations.
- Ability to act as backup or reliever for resources deployed in the city.
- Solid background in team management.
- Proven ability to function effectively as part of a team.
- Proven ability to initiate and follow through with improvement initiatives.
- Experience in facilities management.
- Strong customer service focus.
- Strong people skills and ability to interact with a wide range of client staff and demands.
- Knowledge of occupational safety requirements.
- Strong PC literacy and proven ability to manage daily activities using various systems.
- Demonstrated experience with client reporting and preparation of reports.
- Attention to detail and excellent problem-solving skills.
- Good knowledge of working procedures.
Nice to have
- Demonstrated experience with continuous improvement initiatives is highly desirable.
