Job description

Overview

Prepare and validate trade documentation and customs records for import and export shipments, initially for Europe and Africa, and support reporting and workflow improvement in Hyderabad.

What you'll do

  • Generate and validate commercial invoices and packing lists for import and export shipments, initially across Europe and Africa, checking product descriptions, quantities, values, Incoterms, country of origin and routing against approved source data.
  • Coordinate with Logistics, freight booking, Warehouse, Planning, Customer Service and Trade Compliance to gather missing information, correct discrepancies and issue documents against shipment milestones.
  • Track document requests, shipment status and pending items; prioritize upcoming cutoffs, maintain follow-up records and see requests through to completion.
  • Gather, review and organize supporting records, including bills of lading, certificates of origin, fumigation certificates and other customs or customer documents, checking for completeness, consistency and alignment with approved data.
  • Follow up with brokers, suppliers and internal teams on missing or corrected documents; flag departures from approved procedures and escalate questions about product classification, country of origin or regulatory requirements for review.
  • Maintain accurate, version-controlled records of commercial invoices, packing lists and supporting documents in line with company, customs and customer requirements.
  • Prepare recurring reports on invoice and packing-list accuracy and timeliness, backlog, missing documents, customer escalations and shipment delays linked to documentation; track KPIs and share summaries of trends and follow-up actions.
  • Reconcile report data, identify recurring gaps and causes, and recommend practical improvements to templates, checklists, data capture and handoffs.
  • Work with Information Technology and process owners to improve workflow visibility and automation; support system and report testing, updates and rollout.

What you'll need

  • At least 2-4 years of experience in logistics, import/export documentation, trade compliance or supply chain operations.
  • Experience preparing commercial invoices and packing lists and reviewing shipping documents.
  • Strong Excel skills and practical data analysis ability, including validating, reconciling and reporting information.
  • Ability to manage priorities and meet shipment deadlines.
  • Clear written and spoken English, with strong coordination skills across functions, suppliers, customs brokers and regions.

Nice to have

  • A bachelor's degree in commerce, business, logistics, supply chain or a related field.
  • Knowledge of Incoterms, customs processes, HS codes, and product and origin data.
  • Familiarity with customs requirements in Europe and Africa.
  • Working knowledge of Oracle Transportation Management (OTM), Oracle Global Trade Management (GTM), or other shipment, customs or enterprise systems; ability to learn new systems and support process changes.

Details

  • Location: Hyderabad, Telangana, India.
  • Initially supports shipments involving Europe and Africa; the role may expand to additional regions.
  • Coordinates across time zones.
