Overview
The Order Management Administrator assists with customer orders and coordinates with cross-functional teams to support smooth order fulfilment. The role may also process invoices and requires attention to detail, strong organizational skills, and effective communication.
What you'll do
- Review and process orders, ensuring compliance with established guidelines and rules.
- Track and report the status of all orders to sales teams in a timely manner.
- Receive and review customer orders for accuracy and completeness.
- Enter orders into the system and track their progress throughout the fulfilment process.
- Generate invoices based on approved orders, ensuring accuracy of pricing, discounts, and terms, when required.
- Verify billing information and address discrepancies when required.
- Ensure customer orders and, when required, invoices align with contractual terms and pricing agreements.
- Communicate with customers and relevant internal stakeholders about order status.
- Address customer and internal stakeholder inquiries and resolve concerns in a timely manner.
- Work with internal stakeholders to update customer profiles and relevant information in the system when required.
- Enter order details accurately into the system and update relevant databases.
- Ensure all necessary information is captured for accurate reporting.
- Conduct quality checks on orders to prevent errors and discrepancies.
- Ensure all documents and data are complete and accurate.
- Perform any other related task as required.
What you'll need
- A high school diploma or equivalent qualification.
- Some demonstrated experience in order fulfilment administration or related roles.
- Attention to detail and accuracy in processing orders.
- Familiarity with order management software or systems.
- Strong communication skills for interacting with customers and cross-functional teams.
- Problem-solving abilities to address order discrepancies.
- Organizational skills to manage multiple orders and tasks simultaneously.
- Basic proficiency in Microsoft Office applications, especially Excel.
- A customer-focused mindset with a commitment to providing excellent service.
- Adaptability to changing priorities and a fast-paced environment.
- A proactive and systematic approach to work.
Nice to have
- Some demonstrated experience gained within a global IT services organization.
- Basic billing experience as part of an order fulfilment administration or related role.
