Associate External Operations Manager

Overview

The External Operations Manager plans, executes and distributes activities performed at external vendors, overseeing outsourcing including packaging and distribution and acting as the key business partner for external vendors to ensure operational excellence across the CMO network.

What you'll do

• Manage finance activities including Request for Proposal (RFP) for bidding and vendor selection, Grants, Purchase Orders (PO), invoice approval and tracking financial metrics.
• Provide guidance to the CTSM on packaging design optimization.
• Advise the GCS Study Team on packaging designs to ensure optimal usage of available capacity and budget.
• Manage Order Alignment with GCS Study team members to coordinate packaging order preparation and proactively resolve packaging order questions.
• Act as the key business partner for operational interactions with vendors.
• Review vendor capacity, resource planning and distribution tracker and verify against study requirements to ensure study timelines and specifications are met.
• Coordinate material routing and inventory management of drug product, primary packed materials, packaging components and labels for packaging orders at external vendors.
• Liaise with CTSM/SCM regularly to create packaging orders based on project-specific requirements.
• Interact with SCM and CTSM to flag potential issues or bottlenecks due to availability of PP/DP or locally/regionally sourced items at the respective local hub.
• Ensure the most cost-efficient material flow, minimizing waste and allowing flexibility to accommodate changing demand.
• Manage all packaging activities executed by vendors, ensure agreed milestones and cost are met, and create packaging orders in SAP.
• Coordinate logistic documents to facilitate import requirements.
• Manage deviations occurring at external vendors and escalate high-level issues and bottlenecks to relevant internal GCS stakeholders and external partners.
• Participate in or support external inspections and audits together with TRD QA (and GCP QA where applicable) to assess packaging contractor capabilities.

What you'll need

• 4 to 6 years of practical experience in the chemical or pharmaceutical industry, or more than 3 years of experience in the field of expertise, with a degree in science, engineering or equivalent.
• Apprenticeship or formal education in a logistical, technical or related business area.
• Basic project management, good organization and planning skills.
• Good knowledge of HSE/GMP standards and processes.
• Problem-solving and idea generation skills.
• Good presentation skills.
• Fundamental leadership skills.
• Good communication, negotiation and interpersonal skills.
• Ability to work in interdisciplinary teams.
