Overview
The EPC Engineer - Vendor & Project data manages, organises and maintains controlled vendor documents and project Job books from requisition through final approval, supporting projects, quality management and operations.
What you'll do
- Receive, track, log, and maintain all vendor documents from requisition through final approval.
- Control the issuance of document numbers, revisions and formatting according to project standards.
- Validate Job Book completeness before project milestones and release activities.
- Maintain updated records of all project documentation and ensure easy traceability.
- Ensure only approved vendor documents are linked to Job Book records.
- Manage document revisions and maintain a comprehensive record of all project-related documents.
- Monitor Job Book percentage/completion metrics and ensure accurate reporting.
- Support managers and engineers by ensuring timely document submissions and approvals.
- Coordinate with design, engineering, and project teams to resolve Job Book gaps.
- Monitor document turnaround times and escalate overdue submissions.
- Support audits by providing controlled documentation and records.
- Liaise with project teams, clients, vendors and subordinators regarding document submission, approvals and updates.
- Listen to feedback without defensiveness and use it for own communication effectiveness.
- Make oral presentations and generate periodic reports on document status for management.
- Avoid technical jargon when inappropriate.
- Provide training or guidance to staff on document control procedures and software use.
- Use a structured approach in analyzing and resolving technical problems.
- Seek opportunities for continual learning to maintain technical competence in pursuit of technical excellence.
- Provide examples or case studies demonstrating technical excellence in actual business scenarios.
- Pursue, prepare for and assume new technical assignments and challenges.
- Use, test and upgrade 3D software and PLM software packages.
- Help others to install and maintain software.
- Explain where to locate basic help facilities and troubleshooting guides.
- Discuss basic concepts behind a systematic approach to solving technical problems.
- Identify available resources and support systems for troubleshooting.
- Describe problem identification, reporting and escalation procedures.
What you'll need
- Diploma in Mechanical Engineering or Information management.
- Strong knowledge of vendor document and multi-discipline job books.
- Excellent organizational and time management skills.
- High attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Knowledge of data gathering and analysis tools, techniques, and processes; ability to collect and synthesize data from a variety of stakeholders and sources in an objective manner to reach a conclusion, goal, or judgment.
- Knowledge of techniques and tools that promote effective analysis; ability to determine the root cause of organizational problems and create alternative solutions that resolve these problems.
- Knowledge of the decision-making process; ability to accurately analyze situations and reach productive decisions based on informed judgment.
- Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviours.
- Knowledge of a given technology and various application methods; ability to develop and provide solutions to significant technical challenges.
- Knowledge of the types, features and tools of 3D software and PLM software, and ability to use, test and upgrade the software package in the process.
- Knowledge of 3D software like Plant 3D, Navisworks Manage/freedom, Autodesk Inventor.
- Knowledge of PLM software like Windchill and Synergies Adept.
