Job description

Overview

The Legal PMO Coordinator supports execution of global legal projects and the Global Guideline Management programme for Fresenius Medical Care's Global Legal Function, based in the GBS India Legal Center of Excellence in Bangalore.

What you'll do

  • Develop and maintain project plans, timelines and trackers for assigned Global Legal Function initiatives, in consultation with project owners and stakeholders.
  • Populate and maintain the project management tool/platform and ensure documentation standards are followed consistently across assigned projects.
  • Organize and coordinate project team meetings; capture and circulate action items, decisions and follow-ups.
  • Track deliverables, milestones and due dates; issue reminders and flag at-risk items to the project lead.
  • Support resource planning and allocation at the project-team level.
  • Coordinate onboarding of new business partners and vendors into relevant project or governance workflows.
  • Support day-to-day administration of the Global Guideline Management programme, maintaining the central guideline database, tracking review/approval cycles and monitoring adherence to the defined guideline process.
  • Assist in preparing, formatting and publishing global guidelines and policies via the designated policy management tool (e.g. PolicyTech or equivalent).
  • Respond to routine stakeholder queries on guideline status, process and access; escalate substantive or novel questions to senior team members.
  • Act as day-to-day point of contact for assigned stakeholders on project status and process questions within a clearly defined scope.
  • Contribute to process standardization and documentation efforts aimed at improving the efficiency of Legal PMO workflows.
  • Support budget tracking and reporting for assigned projects under the guidance of the budget owner.
  • Manage discrete projects or workstreams independently with limited supervision; make decisions on moderately complex to complex execution matters, often in ambiguous situations.
  • Coach and review the work of more junior colleagues (e.g. interns, entry-level coordinators) on a task basis.
  • Represent the Legal PMO function with internal stakeholders and external vendors within a defined project scope; escalate situations involving materially divergent stakeholder interests.
  • Modify existing PMO tools, templates and processes to fit project needs.

What you'll need

  • Bachelor's degree in Business Administration, Engineering, Commerce or related field.
  • Approximately 4–8 years of relevant professional experience, including demonstrable experience coordinating or supporting projects, ideally within a legal, compliance or corporate governance environment.
  • Working knowledge of project management methodologies and tools (e.g. MS Project, Jira, SharePoint or equivalent).
  • Strong written and spoken English.
  • Proficiency in MS Office (Word, Excel, PowerPoint).

Nice to have

  • A recognized project management qualification (e.g. CAPM, PRINCE2 Foundation).
  • Additional languages, given the global stakeholder base.
  • Familiarity with corporate legal operations concepts (contract lifecycle, policy management, compliance workflows).

Details

  • Location: Bengaluru, KA (GBS India Legal Center of Excellence).
  • Hybrid work environment.
