Overview
Coordinate the People team's day-to-day work across candidate scheduling, joining-day experience, admin logistics and HR documentation, so the team can focus on hiring and people decisions.
What you'll do
- Schedule interviews end to end: align panel calendars, send invites and reminders, and handle reschedules.
- Follow up with candidates and interviewers so feedback and decisions don't stall.
- Keep candidates engaged with timely updates at every stage.
- Stay connected after offer acceptance until Day 1: regular check-ins, document collection, answering questions and flagging dropout risk early.
- Own the Day 1 experience: welcome, desk and asset setup, team introductions, and taking new joiners out for breakfast or lunch.
- Coordinate induction sessions and the first-week schedule.
- Handle bookings for regular activities: venues, meeting rooms, travel and events.
- Order and track props, supplies, welcome kits and event material.
- Coordinate with vendors and keep spends within the agreed budget.
- Keep all HR sheets accurate and current: hiring, joiners, exits, leave and assets.
- Manage health insurance documentation: employee additions and deletions, e-cards, and claim support with the insurer or broker.
- Collect, verify and file employee documents; prepare standard letters as directed.
- Compile monthly payroll inputs (attendance, leave, joiners, exits) for review.
- Serve as first point of contact for routine queries on leave, insurance and policies; escalate the rest.
- Support townhalls, engagement activities and review-cycle reminders.
