Recruiting Coordinator

Overview

Run the operational engine behind interview loops across engineering, research, product, go-to-market, and G&A hiring. Improve scheduling, candidate communication, interview feedback, and recruiting workflows using AI and automation.

What you'll do

• Schedule interview loops across functions within two business days of candidate advancement.
• Coordinate calendars, time zones, stakeholders, onsite interviews, virtual loops, and travel logistics.
• Communicate clearly and warmly with candidates throughout the interview process.
• Use AI and automation to streamline recurring coordination tasks.
• Maintain accurate candidate stages, feedback, and dispositions in Ashby.
• Follow up with interviewers to achieve timely feedback submission.
• Identify hiring-process friction and recommend process improvements.

What you'll need

• Ability to manage multiple calendars, time zones, and stakeholders accurately.
• Clear, warm candidate communication skills.
• Ability to design Human+AI workflows for coordination.
• Ability to build templates, automations, or systems that reduce manual work.
• Ability to maintain clean and reliable ATS data.
• Ability to prioritize changing requests and flag conflicts early.
• Discretion when handling confidential candidate and interview information.

Nice to have

• Approximately 1–3 years in recruiting coordination, scheduling, or a similar operations role.
• Hands-on experience with Ashby or another modern ATS.
• Experience building an automation or AI-assisted workflow.
• Experience supporting technical or high-volume hiring.
