Overview
As a Travel Operations Specialist (Remote) for a luxury travel account, you take a confirmed flight booking and turn it into a complete, polished trip package for the client.
What you'll do
- Create or update the full trip record in the client management system with flight and passenger details.
- Prepare invoices in FreshBooks and send the approved itinerary and invoice to the client via Periskope.
- Verify that payment is received and correctly recorded before sending deliverables.
- Coordinate requested extras such as airport transfers, seat selections, and special meal preferences.
- Cross-check records for accuracy across the client management system and billing platform.
- Escalate payment discrepancies, data mismatches, or client issues to your Team Lead.
What you'll need
- 1-2+ years of experience in travel operations, hospitality administration, client coordination, or similar roles.
- Experience creating or managing invoices using FreshBooks, QuickBooks, or similar billing platforms.
- Ability to verify or reconcile payments across multiple methods.
- Strong attention to accuracy across multiple tools and systems.
- Clear, professional written communication to send warm, polished client messages.
- Ability to manage multiple tasks at once during busy shift periods.
Nice to have
- Prior experience using itinerary-building tools such as Travefy, Axus, TravelJoy, or Tourwriter.
- Background in luxury hospitality, premium travel, or high-touch client service.
- Familiarity with task management tools such as Asana, or CRM and client communication platforms.
- Working knowledge of travel passenger identifiers like Known Traveler Numbers (KTN) or Frequent Flyer Numbers (FFN).
- Genuine passion for travel and delivering a seamless experience.

- Compensation: $500 - $600/month USD depending on experience.
